1. About These Terms

These Terms and Conditions ("Terms") apply to all bookings and programmes offered by Creative Oasis with Artist Gunja ("Creative Oasis", "we", "us"), a sole trader business based in Reading, UK. By booking a place on any programme — including After School Clubs, Creative Workshops, or Holiday and Half Term Sessions — you ("the parent", "guardian", "participant", or "customer") agree to these Terms in full.

Please read them carefully before completing a booking.

2. Our Programmes

Creative Oasis offers the following programmes:

After School Clubs (Term Time Only) Held at a partner school premises in Reading. Currently available at one location.

  • Art Club — ages 6 to 11

  • Sketch Club — ages 6 to 11

  • Story Club — ages 6 to 11

Creative Workshops (Weekends, Half Terms & School Holidays) Held at confirmed studio and venue locations in Reading.

  • Children's workshops

  • Adult workshops

  • Parent & Child bonding sessions

3. Bookings

3.1 All bookings must be made online through the booking system at www.creativeoasis.uk. A booking is not confirmed until full payment has been received.

3.2 After School Clubs require a minimum of 4 enrolled students per term to run. If minimum numbers are not reached before the start of term, the sessions will be cancelled and a full refund issued to all who have booked.

3.3 Workshop and After School Club places are limited. Early booking is strongly advised, particularly for Holiday and Half Term sessions.

3.4 By completing a booking, you confirm that all information provided — including the participant's name, age, any health or medical needs, and emergency contact details — is accurate and up to date. It is your responsibility to update us if any of this information changes before or during the programme.

4. Payments

4.1 All prices are listed in GBP (£).

4.2 Payments are processed securely through Squarespace Payments. Creative Oasis does not store your payment card details.

4.3 For After School Clubs, payment covers the full term block as stated at the time of booking, unless otherwise specified.

4.4 For Workshops, full payment is required at the time of booking to secure your place.

5. Cancellations & Refunds

Cancellations by the Customer

5.1 Our cancellation policy is as follows:

  • More than 14 days before the start date: full refund, minus the Squarespace Payments transaction processing fee (typically 2–3% of the booking value). This fee is charged by the payment provider and is outside our control.

  • Between 7 and 14 days before the start date: 50% refund, minus the transaction processing fee.

  • Less than 7 days before the start date: no refund. At this point the place cannot be re-sold and costs have already been committed.

  • Individual missed sessions within a term block or workshop are non-refundable.

5.2 Illness exception: We understand that children and adults become unwell unexpectedly. If a participant cannot attend due to illness and supporting evidence (such as a doctor's note) is provided, we will review refund requests on a case-by-case basis. This is a goodwill gesture and not a guaranteed entitlement.

5.3 Refunds are processed via the original payment method. Processing typically takes 2–4 weeks and is subject to Squarespace Payments' timeline, which is outside our control.

Cancellations by Creative Oasis

5.4 We reserve the right to cancel or reschedule any session due to insufficient bookings, venue issues, tutor illness, or circumstances beyond our control (including adverse weather or public safety concerns).

5.5 In the event of cancellation by us, you will be offered either a full refund or a transfer to an alternative date where one is available.

5.6 Creative Oasis is not liable for any travel, childcare, or other costs you may incur as a result of a cancellation or rescheduling.

6. Late Collection

6.1 The sessions end at the time stated on your booking confirmation. The designated collection window is 15 minutes after the session end time.

6.2 In line with our safeguarding responsibilities, children must be collected promptly by a known adult named at the time of booking.

6.3 A late collection fee of £5 per 10 minutes will apply after the collection window closes. This fee reflects the additional supervision time and extended use of the premises.

6.4 If a child has not been collected and we are unable to reach the parent, guardian, or emergency contact within 30 minutes of the collection window closing, we will follow our safeguarding procedure, which may include contacting the relevant local authority.

6.5 Persistent late collection may result in the child's place being withdrawn without refund.

7. Health, Medical & Additional Needs

7.1 It is the parent's or guardian's responsibility to disclose any relevant medical conditions, allergies, special educational needs, or behavioural requirements at the time of booking. This information is held confidentially and used solely to ensure the safety and wellbeing of the participant.

7.2 Creative Oasis is an inclusive and welcoming environment. We will always do our best to support participants with additional needs within a group setting. However, if a participant's needs require one-to-one support that cannot be safely provided within the session format, we will discuss this with you before the session begins.

7.3 We do not administer medication. If a participant requires medication during a session (for example, an EpiPen or inhaler), parents and guardians must ensure this is carried by the participant and that the collecting adult is aware.

7.4 All sessions use standard art and craft materials. If you have concerns about specific materials, dyes, or allergens, please contact us before booking.

8. Safeguarding & Child Protection

8.1 Creative Oasis takes the safety and welfare of all children seriously. All sessions are run in accordance with current UK safeguarding guidance.

8.2 The tutor holds a current Enhanced DBS certificate and Safegaurding Training.

8.3 Children will not be left unsupervised at any point during a session.

8.4 Adults not enrolled in a session — including parents and guardians — will not be permitted to remain in the session space during children-only sessions. This does not apply to Parent & Child sessions, where a parent or guardian is required to attend alongside the child.

8.5 Any safeguarding concern identified during a session will be handled in accordance with our safeguarding policy. Serious concerns will be referred to the relevant authorities without delay.

9. Photography & Media Consent

9.1 Creative Oasis may take photographs or short video clips during sessions for use in our marketing materials, website, and social media channels (including Instagram and YouTube).

9.2 Children will not be individually named in any published content without your explicit written consent.

9.3 If you do not wish for your child or yourself to be photographed or filmed, please notify us in writing at artist.gunja@gmail.com before the first session. We will record and respect this preference for the duration of your booking.

9.4 Completing a booking is taken as consent to the above, unless you opt out as described in clause 9.3.

10. Behaviour & Conduct

10.1 Creative Oasis is a friendly, inclusive, and respectful environment. We ask that all participants — children and adults alike — treat each other, the tutor, and the venue with care and respect.

10.2 Disruptive or unsafe behaviour that affects the safety or experience of other participants may result in a participant being asked to leave a session. No refund will be issued in such circumstances.

10.3 Parents and guardians are responsible for their child's conduct during Parent & Child sessions.

11. Public Liability & Property

11.1 Creative Oasis holds Public Liability Insurance.

11.2 We are not responsible for loss, theft, or damage to personal belongings brought to sessions. Please do not bring valuables.

11.3 Artwork created during sessions belongs to the participant. Uncollected artwork will be held for two weeks after the final session of a term block or workshop, after which it may be disposed of. We will make reasonable attempts to notify you before doing so.

12. Data Protection (GDPR)

12.1 Creative Oasis collects and processes personal data — including names, contact details, and health information — solely for the purpose of managing bookings and ensuring participant safety and wellbeing.

12.2 We do not sell or share your personal data with third parties, except where required by law or where necessary to operate our booking and payment systems.

12.3 Your data is stored securely and retained only for as long as is necessary for the purposes for which it was collected.

12.4 You have the right to access, correct, or request deletion of your personal data at any time. To do so, contact us at artist.gunja@gmail.com.

13. Changes to These Terms

We reserve the right to update these Terms at any time. The version published on our website at the time of your booking will apply to that booking. We will notify registered customers of any material changes by email where possible.

14. Governing Law

These Terms are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
